An owner returning to an apartment and a visitor checking into a hotel need different arrival instructions. Settle three things before travelling: where the driver meets you, where the driver leaves you and who gets you inside. Keep the answers together, with a contact who can resolve a missed connection.
First: the airport or bus pickup
Egypt's Ministry of Civil Aviation describes two passenger terminals at Hurghada Airport. Do not use “arrivals” as the whole meeting instruction. Ask your airline or booking provider which terminal applies to your flight, then agree the precise meeting point with the driver. A map reference for the airport is not a terminal door or pickup lane. Airport source.
Give the transfer provider the flight number, arrival date and passenger count. Add a usable contact number and ask how you will recognise one another. Agree what happens if the flight is delayed, you take longer to leave the terminal or your phone cannot connect. Keep the provider's contact and meeting instructions available offline. This guide has not inspected either terminal or established today's pickup arrangements.
For a bus journey, establish both the boarding point and the arrival stop for your ticket. Somabay lists a Go Bus office at the marina, with published office hours of 09:00–17:00 and the short code 19567. It does not publish a route timetable or establish that a particular bus boards or drops passengers at that office. Confirm your dated journey and stop directly, then arrange the remaining transfer to your host. Office listing.
Second: the right entrance
Write the full hotel, development or building name on the transfer booking. “Soma Bay” by itself is an area reference: Somabay, Almaza Bay Ras Soma, Marassi Red Sea and the mainland-shore hotels need their own destination instructions. Send the driver the entrance reference supplied by your host, rather than a broad bay label or a point taken from a promotional masterplan.
Ask the host whether the car can continue to the building or reception, whether someone must meet you at an entrance and who handles any guest-entry arrangements. The driver, the person managing entry and the person holding the keys may be different people. Get a named contact for each handover that applies to your stay. Understand the area.
Third: the keys and the first night
For a home, agree where the keys will be, who releases them and the fallback if your arrival slips later. Ask what will actually be ready: drinking water, any requested groceries, bedding, the connection and the appliances you need. A cleaning booking is not a condition report; owners can use the return-home report to record what was checked and what still needs attention.
For a hotel, settle the check-in arrangement with the hotel rather than assuming a driver's arrival time determines room availability. If arrival is late, ask which reception or entrance to use and how your booking will be identified. Keep identification documents and access credentials outside any shared guide sheet; follow the host's private instructions.
What belongs in a transfer quote
Agree the total and currency, the payment method, the named destination and whether the journey is private or shared. Ask about waiting, parking, intermediate stops and cancellation or delay arrangements. State the bags you are taking, including any golf, kite or diving equipment. If you need a child seat, step-free boarding or space for a mobility aid, ask the provider to confirm the actual vehicle and arrangement.
These are booking questions, not services confirmed for every provider. For example, ROBINSON's club page says golf luggage cannot go on its direct exclusive bus transfer and must be registered for a private transfer. That applies to its described arrangement; check your own operator's luggage policy. ROBINSON arrival and luggage information.
Somabay publishes an airport-transfer and excursion service under Somabay Limousine, with 24-hour availability stated on its page. That is a published service description, not a vehicle held for you. Confirm a booking, destination, fare and response arrangements before relying on it. Published listing · Destination source.
Time estimates need a destination
ROBINSON's club page gives approximately 45 and 50 minutes in different sections, and airport distances of 45 and 54 km. We do not adopt either distance as a measured route. These are the hotel's differing estimates for its own location; neither is a timing promise for another home or hotel. Ask for an estimate to your actual entrance and keep arrival formalities, baggage collection and the final handover separate from the drive.
The same page warns that ROBINSON's resort clock may differ from local time. If that affects your stay, settle which time a pickup or booking uses. Do not apply one resort's clock to the wider area or treat it as Egypt's civil time.
Put the return in the same plan
Before the day of departure, confirm the collection point, driver contact, luggage, key return and any exit arrangement with the host. Agree the departure time using the airline's current check-in requirements and the driver's estimate for that journey. This guide does not prescribe a universal airport buffer or confirm an evening car's availability.
For an evening away from home, settle the return before setting off. The published daytime shuttle is a different service from an airport transfer and does not establish a night service. If a planned car cannot attend, use the fallback contact you agreed with the host or operator.
Keep one private arrival sheet
The guest sheet lets you collect the address, entry, keys, driver, fare and departure details privately. The offline edition includes a blank paper version. Neither is a transport booking or an entry permit. Mark anything still waiting for an answer as not agreed, rather than filling the gap with an assumption.
Still unconfirmed by this guide: flight-specific terminals, actual bus pickup and drop-off points, current prices, vehicle availability, entry procedures, terminal assistance and late key arrangements. Sources for the related directory listings retain their separate, earlier review dates. No operator was contacted.
